Job Title: Program Assistant

Reports to: Global Kids Program Manager

Status: Non-exempt (hourly)

Wage: $14.50/hour

Hours per week: 21 hours

Typical schedule:

On a regular school day: Mon, Wed, Thurs, Fri: 2:30-6:30pm; Tues 1:30-6:30pm

Non-school days: Hours vary. Program is open on no school days including during break weeks and summer.

General Summary:

The Global Kids Extended-day Program Assistant is a part-time position reporting to the Global Kids Program Manager.  The Program Assistant supports staff, children, and admin during the program as needed.

 

Duties and responsibilities include but are not limited to: Front office duties, covering breaks, planning and leading activities with children, supporting snack service, taking children to the bathroom, generally supporting children and staff as needed, teaching classes when staff are absent, supporting events and field trips, helping with administrative duties, and facilitating and coordinating a variety of tasks to assist with extended-day program operations.

 

Essential Functions:

 

  • Collaborate with Program Coordinator, Manager, and staff to provide a high quality program that supports student achievement and the all around well-being of students
  • Communicate clearly and professionally through email, phone, text, and in person
  • Assist in coordinating schedules, use of space, and changes with parents, staff, 3rd Party Class providers, and school staff
  • Support smooth transitions, systems, and student expectations are in place
  • Support student showcases, one at the end of each program term
  • Monitor the building and grounds to ensure safety and security for staff and participants
  • Track participants using daily sign-in sheets and online attendance database in coordination with Global Kids staff, school staff, and 3rd Party Class providers
  • Contact families in a timely manner in the event of absence to ensure student safety
  • Assist in coordinating emergency drills
  • Provide student support services for participants, including behavior and first aid needs
  • Complete and submit Incident Reports as needed
  • Track student support services provided during program and communicate with families and staff when support is provided
  • Help create support plans for students who need additional support and monitor goals for improvement
  • Assist with data collection, documentation, filing, and database maintenance in accordance with management information systems and program needs
  • Facilitate outreach to families, the community and local businesses to increase participation, volunteering, donations, and involvement in the program
  • Develop safe and supportive relationships with students, staff, volunteers, 3rd Party Class providers, school staff, and families
  • Coordinate snack service during program
  • Cover a variety of Global Kids positions in their absence or when on break
  • Help students with homework
  • Support staff to adhere to the program schedule
  • Effectively communicate school policy, mission, values, and decisions to program staff, volunteers, 3rd Party Class providers and the community
  • Utilize practices covered in Global Kids training, including Positive Behavioral Interventions and Supports and youth development principles to address conflicts and behavioral concerns
  • Ability to work a varied schedule depending on program needs and activities
  • Attend staff meetings, required trainings, and professional development
  • Comply with the rules and regulations of the Staff Handbook
  • Conduct oneself at all times in an appropriate and professional manner and represent the Global Kids Program, The International School, the staff, and supervisors in a professional manner
  • Carry out occasional additional duties as assigned by the Global Kids Program Coordinator or Program Manager

Teaching Curriculum & Classroom Environment

  • Plan and lead Global Kids activities in accordance with the curriculum guidelines set by The International School Global Kids Program
  • Provide a fun, engaging and educational environment
  • Supervise and manage the safety of all children
  • Maintain an organized, safe, and clean learning environment
  • Submit lesson plans and supply requests by the stated deadlines

Supervising Students

  • Know the location of all students under your supervision at all times
  • Provide a safe environment for all students
  • Notify the Program Manager or Program Coordinator when unsafe conditions exist
  • Understand, follow and implement the rules and regulations of the Oregon Office of Child Care

 

Communicating with Staff

  • Read and respond to emails within 48 hours
  • Only use the computer in the classroom if it is used for instructional purposes
  • Communicate with Program Coordinator, volunteers, and staff in regards to student needs and other relevant information (e.g. notification of allergies or other medical needs, behavior supports, etc).
  • Follow the program schedule provided; report any scheduling issues to the Global Kids Program Manager
  • Follow substitute procedures as outlined by the Global Kids Program Manager
  • Communicate any extreme or repeated behavioral or other student issues to the Global Kids Program Coordinator or Manager in a timely fashion
  • Check in with the Program Coordinator and/or Manager at the beginning and end of your shift in regards to program activities and student progress and/or behavior

Other

  • Report for work on your assigned schedule
  • Report directly to Global Kids Program Manager if you are late or going to be absent

Working Conditions/Physical Requirements:  

  • Capable of quickly traveling to multiple locations on school campus in all weather including up and down hills, lifting or otherwise carrying 40 pounds, traveling up/down flights of stairs, and standing for long durations.
  • Ability to handle the physical demands of working with children ages three through twelve

Required Qualifications-

  • At least one year of teaching experience with children in grades PreK to 5th
  • Proficient in written and spoken English

Preferred Qualifications

  • At least one year of teaching experience in a school-based program
  • Comfortable in an international community with experience living and/or traveling overseas and speaking a language other than English
  • Teacher Qualified per the Oregon Office of Child Care

Requirements to start work (these may all be completed upon job offer):

  • Enrollment in the Oregon Office of Child Care’s Central Background Registry (register online and complete fingerprints)
  • Current Food Handler’s Card (online)
  • Current certification in CPR/First Aid (in person)
  • Completion of the Introduction to Child Care Health and Safety (ICCHS) course offered through the Oregon Office of Child Care (online course)
  • Completion of Recognizing and Reporting Child Abuse and Neglect (RRCAN) or similar course within the state of Oregon (online course)
