Job Description

 

Title: Global Kids Extended-day Program Coordinator

Department: Global Kids Extended-day Program

Reports to: Global Kids Extended-day Program Manager

Status: Non-exempt (hourly) with benefits

Wage: Starting at $17 per hour plus benefits

Hours per week: 28.5 hours per week on regular school weeks; additional hours available during no-school days and breaks.

 

Work Schedule:

  • Orientation: Hours vary. Begins August 17 with CPR training (if needed)
  • Regular Work Schedule: On school days, typical hours are from 1:00-6:30pm on Monday, Wednesday, Thursday, and Friday. Tuesdays from 12:00-6:30pm. Hours will be determined by the Program Manager.
  • Non-school days: Program is open on many no-school days. Schedule on non-school days will be determined by the Program Manager and Program Coordinator, and are typically 6-8 hours per day. These include individual days during the school year (like teacher in-service days) and full weeks during some school and summer breaks.

 

General Summary

The Global Kids Extended-day Program Coordinator is a year-round position reporting to the Global Kids Program Manager.  The Program Coordinator works as a member of the two-person administrative team to plan and execute the Global Kids Extended-day Program at The International School. Duties and responsibilities include but are not limited to customer service; managing student attendance; administrative duties; coordinating student showcases, field trips, and other activity planning and execution; front office duties; registration and enrollment; and facilitating and coordinating a variety of tasks to assist with extended-day program operations.

 

Job Duties

  • Collaborate with Program Manager, Admin Staff, school faculty, Global Kids Program staff, Parents, and 3rd Party Class providers to coordinate a high quality program that supports extracurricular achievement and the healthy development of students.
  • Communicate clearly and professionally with students and families.
  • Support Program Manager in development of program offerings.
  • Collaborate with Program Manager to register and enroll students in program including drop-in activities.
  • Assist Program Manager in supervising Extended-day program staff and volunteers
  • Supervise program participants
  • Coordinate with parents, staff, 3rd Party Class providers, and school staff regarding schedules and changes
  • Ensure smooth transitions, systems, and student expectations are in place
  • Coordinate student showcases, one at the end of each program term
  • Communicate with Program Manager, Admin Staff, school faculty, Global Kids Program staff, and 3rd Party Class providers about use of space
  • Monitor the building and grounds to ensure safety and security for staff and participants
  • Track participants using daily sign-in sheets and online attendance database in coordination with Global Kids staff, school staff, and 3rd Party Class providers
  • Contact families in a timely manner in the event of absence to ensure student safety
  • Facilitate emergency drills
  • Provide student support services for participants, including behavior and first aid needs
  • Complete and submit Incident Reports as needed
  • Track student support services provided during program and communicate with families when support is provided
  • Create support plans for students who need additional support and monitor goals for improvement
  • Coordinate data collection, documentation, filing, and database maintenance in accordance with management information systems and program needs
  • Assist Program Manager in tracking and collecting program fees
  • Facilitate outreach to families, the community and local businesses to increase participation, volunteering, donations, and involvement in the program
  • Develop safe and supportive relationships with students, staff, volunteers, 3rd Party Class providers, school staff, and families
  • Assist with hiring and training staff and volunteers
  • Coordinate snack service during program
  • Manage Global Kids Extended-day Program during Program Manager’s absence
  • Ensure that students are getting at least 30 minutes per day of homework time
  • Coordinate with Global Kids staff to ensure they adhere to the program schedule
  • Effectively communicate school policy, mission, values, and decisions to program staff, volunteers, 3rd Party Class providers and the community
  • Utilize youth development principles and coach staff, volunteers, and 3rd Party Class providers to use them as well
  • Utilize restorative justice practices and Culturally Responsive Positive Behavioral Interventions and Supports to address conflicts and behavioral concerns
  • Ability to work a varied schedule depending on program needs and activities
  • Attend all required trainings and professional development
  • Become familiar with the rules and regulations of Global Kids Extended-day Program as outlined in the handbook and work in compliance with those rules and regulations
  • Collaborate with Program Manager to facilitate staff meetings and professional development
  • Prepare for and facilitate Daily Staff Circle, including Staff Circle Notes for staff to review daily
  • Assist the Program Manager in hiring, supervising, providing feedback for, and evaluating Global Kids staff
  • Facilitate family surveys to assess needs and interests
  • Conduct oneself at all times in an appropriate and professional manner and represent the Global Kids Program, The International School, the staff, and the Program Manager in a professional manner
  • Carry out occasional additional duties as assigned by the Global Kids Program Manager

  • Advanced skills in MS Office (Word, Excel, PowerPoint)
  • Experience with Google Suite (Gmail, Google docs, Google sheets, Google forms, Google calendar)
  • Advanced skills utilizing online database software. Specific experience using SchoolsBuddy is a plus
  • Able to create attractive promotional materials and spreadsheets
  • Ability to perform data entry efficiently and accurately

 

Working Conditions/Physical Requirements:  

  • Capable of quickly traveling to multiple locations on school campus in all weather including up and down hills, lifting or otherwise carrying 40 pounds, traveling up/down flights of stairs, standing and sitting for long durations, typing for continuous hours on a computer keyboard, and reading information on a computer screen
  • Ability to handle the physical demands of working with children ages three through twelve

 

Required Qualifications

  • Bachelor's degree or equivalent experience
  • 1-3 years experience in an after school program setting, preferably in a school-based program
  • Administrative experience
  • Communicate fluently in written and spoken English
  • Experience working with people from diverse cultural, linguistic, and economic backgrounds is essential

 

Preferred Qualifications

  • Experience in volunteer management, administration, and staff supervision
  • Comfortable in an international community with experience living and/or traveling overseas and studying other languages
  • Experience working with children (ages three through twelve), preferably in a school setting

 

Training Requirement (can all be completed upon hire, during training or online)

  • Enrollment in Oregon’s Central Background Registry
  • Current Food Handler’s Card
  • Current certification in CPR/First Aid
  • Completion of the Introduction to Child Care Health and Safety (ICCHS) course offered through the Oregon Office of Child Care
  • Completion of Recognizing and Reporting Child Abuse and Neglect (RRCAN) or similar course within the state of Oregon
  • 15 Hours of training per year, 8 of which must be in child development
